Meetings & conferences

Sound for meetings and conferences
in Fargo.

Presenters heard in the back row, questions from the floor that everyone catches, and your laptop audio actually playing through the room. We set it up before your attendees arrive and stay to run it.

The problem

House systems fail in predictable ways.

Most meeting rooms come with a ceiling speaker and one microphone bolted to a podium. It works right up until your presenter steps away from the podium to point at the screen, or the laptop will not route through the room, or a question from the back row is inaudible to everyone except the person asking it.

None of those are hard problems. They are just problems that need somebody in the room who can solve them while your meeting keeps running.

What we bring

Enough, and not more.

A system sized to your room, a podium microphone, a second wireless microphone that can move to a presenter or out into the audience for questions, and a clean connection for your laptop so video and slides play at the right level.

We carry three microphones total: two wireless and one wired. That comfortably covers a podium plus a roaming microphone, or a small panel. It is worth saying plainly that a panel where five people each need their own live microphone is more than we carry.

Before anyone arrives

Set up early, tested, out of the way.

We arrive early enough to set up, test every microphone with a real voice, set your laptop audio, and be out of sight before your first attendee walks in. Nobody watches us work.

Straight pricing

What meeting sound costs.

  • Weekday events: from $400. Monday through Thursday. Most meetings, conferences, and weeknight banquets land here. Weeknights are already open on our calendar, so there is no wedding to turn down to take your event. You get the benefit of that.
  • Friday, Sunday, and Saturday daytime: from $550. Car shows and daytime ceremonies fit here. These days start to compete with wedding work, so they run a little higher than a weeknight.
  • Both rates buy up to 4 hours of event time. Event time only. Setup and teardown are free on top of your 4 hours, never counted inside them. Your clock starts when we start running sound for you and stops when we stop. We are usually on site 60 to 90 minutes before that to set up and test everything, and we stay afterward to pack out. You are not billed a cent for either, and neither one shortens your 4 hours.
  • Longer events: $125 per additional hour. A six hour car show is the base rate plus two hours. We work the total out with you before you book. Past four hours we are into a long day, often ten hours door to door once load in and load out are counted. The hourly keeps a long event worth doing properly instead of rushed.
  • Saturday evenings: usually booked for weddings. Ask and we will tell you honestly what is open. A Saturday night is a wedding reception for us, and those book up to a year ahead. If your date happens to be open we will say so.
  • Announcing or MC work: add $200. Optional, and only if you want it. Running the microphone is a different job than running the sound. This is the part that four decades of doing it actually buys you.
  • Travel: Fargo, Moorhead, West Fargo, and Dilworth are included. Anywhere farther is quoted plainly up front. Those four are our home metro, so there is no drive time worth passing along to you.

That is the whole list. You will know your full number before you sign anything, because we ask how long your event runs and quote the hours up front instead of adding them to the invoice afterward.

Some real examples.

  • Board meeting, Wednesday morning, 2 hours $400 weekday base rate, inside the included 4 hours $400
  • Half day seminar, Tuesday, 4 hours $400 weekday base rate, right at the included 4 hours $400
  • Conference, Thursday, 6 hours $400 weekday base plus 2 hours at $125 $650
  • All day conference, Tuesday, 8 hours $400 weekday base plus 4 hours at $125 $900

Every hour shown above is event time. Our setup and teardown sit outside it and cost you nothing. Add $200 to any of these if you want us on the microphone as well. These are real quotes for real event lengths, not starting prices that grow later.

Most meetings and conferences are weekdays, which is our lowest rate and the easiest thing for us to say yes to.

FAQ

Meeting and conference sound questions

How much does sound for a meeting or conference cost in Fargo?

Weekday events start at $400, and most meetings and conferences are weekdays. Friday and Sunday start at $550. That buys up to 4 hours of event time, with setup and teardown free on top rather than counted inside it. Additional event hours are $125 each, so an all day conference is quoted on its actual length rather than guessed at. Fargo, Moorhead, West Fargo, and Dilworth are included with no travel charge.

Does setup and teardown count against my 4 hours?

No. Your 4 hours is event time only, measured from when we start running sound to when we stop. We are usually on site 60 to 90 minutes ahead so everything is set and tested before your first attendee walks in, and we stay afterward to pack out. None of that is billed to you, and none of it eats into your hours.

Why not just use the built-in system in the room?

House systems are often one ceiling speaker and a single podium microphone. That works until a presenter steps away from the podium, a laptop will not play through the room, or someone in the back cannot hear a question from the floor. We bring a system sized to your room and stay to run it.

Can you handle a panel or a question and answer session?

Yes, within a limit worth knowing up front. We carry three microphones: two wireless and one wired. That covers a podium plus a roaming microphone for questions, or a small panel. A panel where five people each need their own live microphone is more than we carry.

Can you play audio from our laptop or run sound for a video?

Yes. We connect your laptop to the system and set levels before the room fills, so your video does not come out too quiet or startle the front row.

Do you set up before our attendees arrive?

Always. We arrive early enough to set up, test every microphone, and be out of the way before your first attendee walks in.
